How annual leave is accrued and converted in Australia

Four weeks, 152 hours and a 7.6-hour day: how leave accrues under the NES, why payslips store hours, and what leave loading actually adds.

Four weeks is a number of hours

The Fair Work Ombudsman’s annual leave page states the National Employment Standards entitlement: four weeks of paid annual leave per year for most full-time employees, accruing progressively. “Four weeks” only becomes a number you can take once you know how long a week is. On the NES 38-hour week it is 152 hours.

Annual hours = ordinary weekly hours × 4
Days you can take = leave hours ÷ ordinary hours in a day

38-hour week: 152 hours a year, 7.6 hours a day, 20 days
40-hour week: 160 hours a year, 8.0 hours a day, 20 days
22.8-hour week (0.6 FTE): 91.2 hours a year, still 7.6 hours a day if you work three 7.6-hour days

That last line is the part-time trap. The day is still 7.6 hours if that is how long you work when you work. A 91.2 hour balance is 12 of your days, not 12 of a full-timer’s days spread across a roster you do not work.

Why 87.4 hours is not “about two weeks”

The same balance, two day lengths

Priya’s payslip shows 87.4 hours of annual leave. She is deciding whether that covers a fortnight off.

At 7.6 hours a day
87.4 ÷ 7.6 = 11.5 days — a fortnight plus a day short
At 8.0 hours a day
87.4 ÷ 8.0 = 10.93 days — short of a fortnight
At 9.5 hours a compressed day
87.4 ÷ 9.5 = 9.2 days — nine shifts, not ten
What did not change
The 87.4 hours. Only the length of the day she wants to take.

Asking “how many days have I got?” without naming the day is how two people in the same workplace disagree about the same balance. Set the ordinary day to whatever your award or agreement uses, then divide.

Accrual is progressive. A balance quoted in September is not the annual entitlement minus what you have already taken — it is whatever has accrued since you started, minus what you have taken, plus any carried over.

Loading, shutdowns and cashing out

Many awards add annual leave loading, often 17.5% of ordinary pay, when the leave is taken. Some shiftworkers are paid the penalties they would have earned instead, if that is more. None of that changes the hours. It changes the dollars on the payslip for those days.

Employers can direct leave during a shutdown, and they can manage an excessive balance, within the rules of the Fair Work Act and the applicable award. Cashing out leave is allowed only if the award or agreement says so, and usually only above a remaining balance of four weeks. The converter on this site does not decide whether a direction or a cash-out is lawful.

What the leave calculator is for

The leave calculator converts hours to days and back using the ordinary day you set. It will not value the leave in dollars, apply loading, or tell you whether the dates will be approved. For the hourly rate that turns those hours into money, use salary conversion. For how many working days a year actually contains once public holidays are removed, use workdays per year.

The mistakes the hours-to-days step is meant to catch

  • Assuming every day is 8 hours on a 38-hour week.
  • Treating a part-time balance as full-time days.
  • Reading a mid-year balance as the annual entitlement.
  • Adding 17.5% to the hours instead of to the pay.

Common questions

How much annual leave does a full-time employee get?

The National Employment Standards provide four weeks of paid annual leave a year for most full-time employees, and a fifth week for some shiftworkers. On a 38-hour week that is 152 hours a year, accruing progressively rather than arriving as a lump on your anniversary.

Why is my leave shown in hours, not days?

Hours are what you accrue. Days depend on how long your ordinary day is. 152 hours is 20 days at 7.6 hours, but only 19 days at 8 hours. Payroll stores the hours so a change of roster does not rewrite the balance.

Do casuals get annual leave?

No. Casual loading is paid instead. Converting a casual rate to a salary without stripping that loading is how a casual job looks richer than a permanent one that includes four weeks of paid time off.

What is leave loading?

An extra percentage — often 17.5% — paid on top of ordinary pay when annual leave is taken, set by many modern awards. It is not part of the NES and it is not in an hours-to-days conversion. Check the award before counting on it.

Does unused leave expire?

Under the NES it generally carries over from year to year. Some agreements encourage or direct you to take leave after a certain balance, but the entitlement itself does not vanish at 30 June.

How much leave do I accrue each fortnight?

On a 38-hour full-time week, four weeks is 152 hours a year, which is about 5.85 hours per fortnight or 2.92 hours per week. Part-time accrual is proportional to ordinary hours worked.

Can my employer make me take leave?

In some circumstances, yes — for example during a shutdown, or when you have accrued an excessive balance, subject to the Fair Work Act and your award or agreement. The converter on this site does not decide that question.
